The challenge

What the client needed

Following a hardware refresh, the client wanted to give 150 retired laptops a second life by offering them back to their own employees, while ensuring all corporate data was fully erased and the process was compliant, transparent and easy for staff to use.

After a company-wide hardware refresh, the client was left with around 150 perfectly serviceable laptops. Their instinct was not to send them straight into recycling. The devices still had real life left in them, and there was internal appetite to do something more meaningful than just box them up and ship them out.

The idea of offering them back to employees was popular but raised obvious questions. How do you guarantee corporate data is gone? How do you handle device condition fairly across a workforce? And how do you do all of this without creating a heavy admin burden on the IT and HR teams?

They also wanted the programme to feel like a genuine benefit, not a clearance exercise. That meant devices needed to be properly refurbished, sensibly priced and clearly described, with the technical side of data destruction handled in the background.

Our approach

We collected the full batch of laptops in one coordinated movement, capturing each device by serial number and matching it back to the client's records. From the moment a laptop left their site, it was tracked through every stage of the process.

At our facility, each device went through certified data wiping, followed by functional testing and cosmetic refurbishment. Devices were graded against a clear standard, so the client knew exactly what condition each laptop was in before any were offered to staff.

The resale side was kept deliberately simple. Devices were presented to employees with clear specs, condition grading and a fair price, and the client received a single set of records covering data destruction, refurbishment and the resale outcome for each unit.

The outcome

How it played out

150 laptops returned to active use with the company's own employees, supporting the client's sustainability goals while recovering value from previously redundant assets.

The vast majority of the 150 devices found a new home with the client's own people. Instead of sitting in storage or going through a generic remarketing channel, they went back into daily use with users who already knew the brand and the hardware.

From the client's perspective, the programme ticked a lot of boxes at once. Their data destruction obligations were demonstrably met, their sustainability story was strengthened by a clear reuse outcome, and their HR team had a tangible benefit to talk about with staff.

Operationally, it was light-touch. The client's IT team did not have to manage individual transactions, grade devices, or chase paperwork. They received a clean set of records at the end and a programme that could easily be repeated at the next refresh.

Reflections

What we took from the project

Employee buy-back programmes are a great example of how IT disposal can quietly become a positive story rather than a back-office cost. The devices are the same; the framing is completely different.

The thing that makes it work is doing the unglamorous parts properly: certified wiping, honest condition grading, clean documentation. Once those are nailed, the rest of the programme almost sells itself internally.
